Overview
This article explains how to add, edit, and delete activities within a case program. Activities are tasks associated with a program and can be used to track work, track case notes, assign case workers, attach forms and files, log hours, and manage progress throughout the case lifecycle.
Prerequisites
- Access to an existing case
- Permission to create and edit activities within a case
Adding an Activity to a Program
- Open the Case where you want to add an activity.
- Locate the Program within the Case Board.
- Click the “+” (Add Activity) icon in the top-right corner of the program.
- A drop-down list of available activities will appear.
- Select the activity you want to add.
- The selected activity will automatically be added to the program.
Viewing and Editing Activity Details
- Click on the newly added Activity to open its details.
From the activity details screen, you can add or update the following information:
Activity Fields
- Case Activity – Modify the activity name.
- Priority – Select a priority level (Low, Medium, or High).
- Grant Type – Link the activity to an existing donor grant.
- Grant Amount – Displays the Grant Funds currently available (this track back to 0 as funds are dispersed)
- Case Notes – Add notes for reference or documentation.
- Start / End Date – Set the activity timeline.
- Case Worker – Assign one or more case workers. Assigned activities appear on the worker’s My Activities page.
- Forms – Attach forms created in the system.
- Attachments – Upload related files to the activity.
- Link to Case Activity – Connect this activity to another activity within the same case.
- Checklist – Add or manage a checklist associated with the activity.
- Comments – Add or reply to comments. This section functions as a running conversation related to the activity.
- Click Post Comment to save a comment.
- The Total Replies button shows how many replies a comment has.
- Click Save to create or update the activity.
Activity Shortcut Buttons
Each activity includes shortcut buttons for quick access to common actions:
- Alert – Displays as red for activities that require special attention.
- Link – Opens any linked user activities.
- Checklist – Opens the activity checklist.
- Status – Hover over or click to view the current activity status.
- Delete – Deletes the activity.
- Worklog – Click the clock icon to log into work hours.
- Enter the time spent on the activity.
- Click Save to record the work log.
Notes & Tips
- Assigning a case worker ensures visibility of the activity on their My Activities page.
- Comments are useful for tracking discussions and updates related to an activity.
