How to Create a Case Board Template
- Click the Case icon in the left navigation to open the Cases page. From the top bar, select Template.
- From the Template screen, you’ll see a list of active templates. You can add a new case board template or edit an existing one.
- Click Add and select Add Case Management Template.
- Enter the template’s basic information (e.g., Name and Description).
- Click Save to create the template.
How to add a Program to a Case Board Template
- To add a program, click + Program on the Template Board. Enter the program details (Name, Goals, Color, Prior Program, Active, Attendance, and Description), then click Save.
Note: Programs must be marked Active to appear on the case board.
After clicking the + Program button on the Template Board, enter the required information to create a new program.
- Name: Enter the name of the program.
- Goals: What is the goal you want to obtain from this program.
- Color: You can change the color of the program to distinguish it from other programs.
- Prior Programs: You cannot edit this field.
- Active: You can click the checkbox to make the program active and the activities inside it. Programs MUST be active to show up on the case board.
- Attendance: You can activate the attendance function by simply clicking on this checkbox. You will use this if you have a program that contains classes or other activities that you might require to track attendance.
- Description: You can provide a short description of the program.
- Click on save to create the program.
How to add an Activity to a Program
There are 2 ways to add activities to your programs. You can add activities one by one, or you can use the import function to create multiple activities at once.
- The first way is to create a single activity, click the + icon under the New Activities column. You’ll be prompted to enter the basic details for the activity in a modal window.
- Case Activity: Enter the name of the activity.
- Priority: Select the activity priority (Low, Medium, or Important).
- Description: Add a brief description of the activity.
- Duration (Days): Specify the number of days needed to complete the activity.
- Case Worker: Assign the activity to a case worker.
- Case Notes: Add any predefined case notes to the activity template
- Checklist: Add a checklist for the activity.
- Forms: Select any forms associated with the activity.
- Topic: Choose a topic used for client enrollment and attendance tracking.
- Click on Save to create the activity.
- The second way uses the “Import” function:
- Click on the Import button to open the modal window. From the drop-down at the top, select the program (for example, Onboarding) where you want to add activities.
- Next click on Add to begin adding activities to the list
Once you have added all the activities to the list, you can click on create case activity, and it will transfer those activities to the program you selected.
- Once all the activities have been added to the program, you can click each one and edit the details as shown above when adding a single activity.
- The last step is to click Save. Now the template will be available to be used on your cases going forward.
